Parish Council
The Parish Council assists the pastor in the spiritual leadership of the parish.Parish Council has 8 elected members, the Pastor and the chairpersons of the Administration & Finance Committee, the Board of Education, and a representative from the youth. The Parish Council meets on the third Monday of each month.

Finance and Administration Committee
The Finance and Administration Committee is responsible for planning, providing and supervising the financial affairs and the physical properties of the parish.  Its members oversee the budget, stewardship and church maintenance of the parish plant. 

Education Committee (Board of Education)
The Immaculate Conception Board of Education interacts with the Holy Family Consortium, All Saints, St. Matthews, Regis Middle School and Xavier High School.  It oversees the parish religious education programs for children and adults.  Special preparations for the Sacraments of Holy Eucharist, Penance and Confirmation are also offered.  There are five voting members elected for three-year terms.  The pastor and Director of Religious Education are members of the Board. 

Liturgy and Spiritual Growth Committee
This committee prepares for special liturgies and trains parishioners for participation in various Liturgical ministries. 
 
Social Concerns Committee
The Social Concerns Committee helps with several charities, including The Catholic Worker House, St.Vincent dePaul, Green Square Meals and Habitat for Humanity, and the Community Free Health Clinic and emergency help for parishioners. They also provide servers for the Sunday evening dinner at First Presbyterian Church.

Parish and Community Life Committee
The Parish and Community Life Committee organizes activities that bring our parish community together as one. 

Building and Grounds 
This sub-committee handles the maintenance of the parish buildings and grounds.  Committee members facilitate minor improvements and carpentry work and also give advice for major projects.

Minutes, April 6, 2010 Parish Council Meeting

 

I.                   Call to Order:

a.       John called the meeting to order and Jerry second with the approval of the council.

II.                Roll Call: 

a.       Attendees: Fr. Podhasky, John Fosdick, Gary Ward, Marie Chalhoub, Jeff Bean, Tom Fagan, Bill Fletcher, Jerry Morrison and Danielle Rodriguez

b.      Absent:  Anne Pilling.

 

III.             Minutes Approval:

a.       Gary brought the attention to when it has been writing in the minutes with the approval and second it should be noted that it has been approval by the entire council.

b.      In the Administration and Finance:  It is Taxa not Tax 9.

c.       Mission Statement: that the Archdiocese asks that we have a mission statement by June not that it has to be done by then.

 

IV.             Committee Reports:

a.       Administration and Finance:  Budget for the next month, looks well

·        Alan Benson is consulting on our roof issues with our contractors. 

·        Tuck and Point-we paid for it through the Parish Improvement Fund.

·        Tom is stepping down from his seat on the Finance Committee-he served twenty-five years on the committee

b.    Building & Grounds:  biggest issue is the roof to get fixed and Gary gave the minutes

                 c.    Spiritual & Growth:  went through Easter and Holy week

·         Marian Moreland a new member to the committee

·         Matthew Kelly will be here on the 25th & 26th

·         First Communion is on the 25th

·         May Crowning is the first Sunday in May

d.      Board of Education: the committee is having a name change to “Faith Formation Commission” and will have new responsibility like RCIA

·         Mary thinks that the budget will stay the same for next year

e.   Social Concerns:  Anne, Denise, Jeff & Fr. Chris Podhasky with some other members met for the visit.

·         Follow up meeting April 15th at 4pm

·         The committee has requested the recent charitable donations from Denise

·         May support other organizations that are lined with the Catholic Faith

·         House of Hope sent a thank you for our contribution

                  f. Parish Community Life:  No report due to Nadia being absent. 

                 g.   Hispanic Ministry:  there was a good crowd for lent and services

·         Working on the Census information

·         Living Station of the Cross after mass and had a potluck

h.      Deanery Council:  meeting this Thursday

i.        Ecumenical Project:  no report

 

Request to use the hall for a rehearsal dinner for a wedding: Jerry approved & Tom second with the committee unanimously accepted.

 

Task Force Report to the Archdiocese of Dubuque

            Father Chris has it, if you want to review it

 

Parish Council new seats nominations:

  • Bob Brandt
  • Colette Molumby
  • Gary Ward (will run again)

 

Bill Fletcher brought up about selling ads and suggested to do a feature section for one of the companies.  Fr Chris stated that the advertisement agency does the whole spread.

 

Open House on March 14th:

  • Gary spoke to the group of 50 people
  • John suggested that we have the open house more often

Minutes, March 2, 2010 Parish Council Meeting

 

I.  Call to Order                                            

            Father Podhajsky called the meeting to order by with an opening prayer.

 

II.  Roll Call:

Attendees:       Fr. Podhajsky, John Fosdick, Gary Ward, Marie Chalhoub, Anne Pilling,  Jeff Bean, Tom Fagan, Jerry Morrison and Danielle Rodriguez

Absent:            Bill Fletcher, Marie Chalhoub and Naida Garza

 

III. Minutes Approval

  • Tom approved with Jerry’s second

 

III. Committee Reports

  • Administration and Finance:  The cost of Xavier will go up $3000 and need to work on budget for next coming year. 
    • 2% increase for staff for next fiscal year.  Jerry approved with a second from Jeff.
    • Still looking on the options for the roof and possibility to get it done.
    • Jump Start; still haven’t seen the money but are starting to see that that the process is done, it was a slow and long process
    • Private donation was made to Mid America in honor of IC Church to apply to the gas bill.  IC has not paid a gas bill in 2 months.  This will need to be reflected when looking at the budget in the future.
    • Tax 9: was paid to the Bishop in February.  (Tax 9 is paid twice a year once in Feb and once in November.  It is a tax of 12% of our income.)

 

  • Building and Grounds: Gary passed around information from Denise.  IT was information and action items to look at for upcoming meetings.

 

  • Spiritual Growth and Liturgy:  The committee was working on Ash Wednesday preparation.  The next two projects are Lent and the upcoming speaker Mathew Kelly.

 

  • Board of Education: The students are working on the Rice Bowl Project.  The money raised will go to DBQ to be collected for Haiti.

 

  • Social Concerns:  Anne and Jeff are attending a meeting this week.

 

  • Parish Community Life: Naida is working on the Mathew Kelly event

 

  • Hispanic Ministry: The community is doing the Station of the Cross

 

    • A faith group has started and is sharing things
    • Working on preparation for Easter

 

  • Deanery Council Meeting: No report next month

 

  • Ecumenical Project: No Report

 

IV. Old Business

·         Task Force: is done and everything is sent to Dubuque

·         Events:  Mathew Kelly and Holly Week

 

V. New Business

  • Mission Statement:
    • Mission Statement and Committees changes need done by June
    • Budget needs done April
    • Elections in May
  • Parish Council Seats:
    • Katie has removed herself from the council, need to fill her seat.
    • John and Gary will be out at the end of the year.  Gary can return but John has served his full time
    • Nominations have been handed out to get new people on the council.  Nominations forms need to be given to Denise by April 1st.
  • Town Hall Meeting:
    • March 14th after 9am Mass
    • John and Gary will be there but would like as many council members there.
    • Gary shared his notes and brief information of what he wants to talk about.
    • Jeff suggested giving out the nomination forms at that time.
